How to Revise or Edit a Preprint on Advance
If you need to update only metadata (title, abstract, keywords, authors, affiliations)
- Logged in to Advance, click on your profile in the upper right and go to "My Documents" to locate your preprint. Alternatively, you can paste the URL into the browser bar if you have it. Click the green Edit button at the top of the document.
- You need to be logged in to see the Edit button. You are now in "edit mode" and can make changes to the document's preprint information
- To change authors or affiliations: click the three dots on the right and select "Manage Collaborators" (see image below). This will allow you to edit names, add/remove affiliations, reorder authors, etc. See Manage author lists, multiple affiliations, and delete coauthors section for more information
- Make any other change to title, abstract, and keywords directly in the document
- Click the three dots on the right and select "Resubmit preprint information " to update the "Cite as" box, hosted PDF (Download PDF) and Crossref record (including DOI) for your document
If you need to replace the contents of your manuscript
It happens sometimes that your manuscript was posted and it contains content which you don't want to make public, for example a Word Document or a patient image you did not get authorization for.
- In that case, go to your document logged in with your author account and click Edit.
- In the toolbar, find "Replace entire manuscript" under Document
- Follow the prompts, and upload a new file, for example a PDF, which will replace any of the previous content. Check you metadata (see above) and make any updates necessary.

Note: you can only perform this action on version 1 of published documents
If you need to create a new version of an Approved Paper
- Go to your preprint and click the green Edit button at the top of the document. You need to be logged in to see the Edit button.
- You are now in "edit mode" and can make changes to the document's full text, figures, etc
- Do you need to remove the entire paper and replace it with a new one? That is possible. If your paper's main file is a PDF or Word, simply remove it (in Edit mode, click on the trash icon 🗑 in the top right of the file. If your preprint is available as in text+images, you can manually remove (select and delete) all its text and images. Then, when your document is blank, upload a new one via the toolbar (Insert -> File (any filetype)).
- When you are done with your edits, you can "update" the version of your DOI, by clicking Publish again and following the prompts. This will create a new DOI with the suffix of the new version number, for example /v2. It will also update the metadata at CrossRef to your documents current information, so once again, it is important that this information be accurate.
- Your paper will now be sent back to the team for moderation. If the revision passes moderation, it will appear as a new version of the preprint on the same Advance page - the initial version will still be accessible.
If you need to delete a draft manuscript
- Find "My Documents" under your user account icon.
- From your user homepage, click on dots next to a document card title and then select Delete Document.
